Default Email option for Mail Merge not accepting FIRST LAST for TO name field in step 6

Have a portable and desktop. Windows XP Professional on both.
Same OutLook settings on both
A. OutLook - Tools- Email Accounts - Change/View Address Book - Change
- Show Names By (Set to FIRST LAST)
B. OutLooks - Tools - Options - Preferences - Email Options - Advanced
Email Options -
YES - Automatic name checking
YES - Suggest Names while completing TO, CC and BCC Fields

I created an EXCEL worksheet with a field named USER NAME. It is format
of First Name + space + Last Name. EX - John Doe.

When I get to step 6 of the MailMerge (Email choice). I enter the USER
NAME as the TO name choice.

On my desktop, it works fine. On my portable, I get a CHECK NAMES
window pop up. I have to select the SELECT MORE NAMES button. I have to
manually enter the name in the format of LAST, FIRST (Ex. Doe, John). It
will then work.

What setting(s) do I need to change on my portable to allow MS Word
MailMerge to accept TO Name format of First +space + Last and
internally convert it to view my address book with Last, First.
