Default Template with autotext

I have created a template with autotext entries (objections.dot). I put it
in each person's startup folder (Word 2003). (Oh why can they not share
them!!?? I have to put this in 33 different comptuers, and woe betide me if
there is one little change!).

I clicked on SHOW TOOLBAR and some of the time the AutoText toolbar shows up
and sometimes it doesn't. Also, the user has to go into the autotext menu
and choose the objections.dot template. Why does it not show up
automatically, or rather, how do I get it to do that, without them having to
choose it each time (which produces a great deal of grumbling - honestly,
some people are just spoiled)?
