Table of Contents Word 2007 Page Numbers not aligning correctly
I have been all over Word 2007 (yes, a recent convert) and all over the help
topics on the office.ms.com - please help! My TOC is formatted to Heading 1 and Heading 2 only, taking from template. The Heading 1 page numbers are showing up indented from the right margin, while the Heading 2 page numbers are all the way at the right margin. It looks strange. I would prefer to have them reversed - Heading 1 page numbers to the right margin, heading two indented from the right margin by a small bit. I cannot figure out how to do this. I have looked at the formatting of the styles themselves - no right margin is set. I have looked in the "insert TOC" tab and clicked modify but all I can control there are tab stops - and since the durn ruler doesn't appear it is guess work at best. Isn't there a better way to do this? I am presenting this document tomorrow, so any help is very much appreciated. To turn the Ruler on - View Tab, place a checkmark in ruler.
Once you are inside the Modify TOC dialog box, click the Modify button again, which will take you into the Modify Styles dialog box. I wish this had been the answer, but I am more stuck than ever. Even when I
have the tabs on TOC1 and TOC2 set exactly the same, the TOC2 page numbers do not line up with TOC1. This absolutely should not be that hard. I am generally considered a "power user" although I am certainly no MVP, and I cannot believe how frustrating this is. Perhaps I am having a dumb moment and totally missing something here. Did you make sure to specify right-aligned tab stops for the TOC 1 and TOC 2
styles? If you drag the tab stops on the ruler, are you then able to line them up properly? I tried dragging the tab stops and then yes, I can get them to line up
properly. Then when I update the field, the tabs go back to where they used to be. I currently have the tab stops set so that the Header2 lines are indented from the left and the right, and it looks okay, but not great. It looks like I bandaided it together, actually. Like I said earlier, it just should not be this hard to figure out. I also noticed that the "automatic TOC" entries on the pull-down TOC menu are configured so that H2 and H2 both go to the right margin, while H1 stays indented from the right. It looks like MS has decided how a TOC should look and wants me to go through personal "heck" to get it the way I want it. Both TOC levels are set to right justify with dot leaders. Changing the leaders doesn't change anything. Clearing the tab stops doesn't change anything. Putting in an extra tab stop causes all tab stops to stop working and the TOC then has hardly any spacing between the header name and the page number. Yep, I am frustrated. This is a template document that is going to be distributed to others to execute, so I have to have it pretty darn bullet proof or all of our efforts will be lost. How can this be so difficult? When you adjust the tab stops be sure you have the entire row selected.
For instance, if you have all of your First TOC entry selected and change the tab stop, if you did it correctly, all other TOC entries which are the same level would also adjust to align with the one you just adjusted. Be sure you have the entire row selected before making paragraph formatting changes. Dragging the tab stops should be trouble-free, but it assumes that the
"Automatically update" option is checked for each of the TOC styles. You can verify this via the Styles task pane (Ctrl+Shift+Alt+S): Click the Manage Styles button. In the Manage Styles dialog box, click the Edit tab. Locate each of the styles, click Modify to see the status of "Automatically update." If the option is cleared, check it, and/or directly verify the tab settings for the style(s), via the Format button, Tabs. When you are done, confirm the settings by clicking OK. When the TOC styles are correctly set up, you may want to select the TOC and press Ctrl+Q to clear any direct paragraph formatting that may have been applied to it. Note that it is crucial not to have any excessive tab stops in the TOC styles, because, in the TOC, the page number will always be located at the first available tab stop after the text of the TOC entry.
