Default Printing Tray Woes - Getting Word to Print to Correct paper tray

Hi,

We are new to Word (have used WordPerfect for the past 10 years, switched
entire organization 250+ users to Word in April). We are having terrible
problems recently getting Word to print to the correct paper tray. Here's
our set up:

Tray 1 - envelopes
Tray 2 - plain paper
Tray 3 - Letterhead

We have the printers set up accordingly (most of the printers are HP 4200's
or similar) to be page type envelope page size envelope tray 1. Page size
letter, page type plain in tray 2. Page size letter, page type letterhead in
tray 3. We cannot for the life of us get Word to print to the correct tray -
it seems to have a mind if it's own - particularly after printing to
envelopes in tray 1.

Has any one else experiened the same problem and have a solution? We've got
about 160 very unhappy users right now and nothing we do seems to make the
printers behave.

Thanks for any assistance you can provide.

There are a couple of issues involved here.
1. Printer settings are not saved with the document. If you use different
printers you may have to adopt a different approach - with a different set
of document templates for the users of the other printers. All depends on
what the tray allocation codes are for those other printers.
2. The paper tray settings are set at the File page setup paper . These
are the settings for the main document and should be configured in the
document templates.
3. If you add an envelope to the document, then you need to set the page
setup for the envelope section to print to the correct tray. You can either
do this from the envelope labels tool options, or you can do it from page
setup.
4. It is probably simpler if you use a separate template for the envelopes -
there are samples you can download from my web site. They will require the
page setup changing from manual feed to tray 1.

Thanks for the response. We aren't using different printers in this
instance. We've set the paper up in the File/page setup/paper and no
success. For example: Have document on screen we want to print to plain
paper. Go to file/page setup/paper, choose letter size paper from tray 2.
Then go to a new document - do envelope from envelope template. Go to
file/page setup/paper and tell it envelope paper size and print from tray 1.
Close envelope document. Go to original document printed on plain paper -
hit print - and it will come out on tray 3 letterhead. The next time we do
this same sequence it might print correctly from tray 2 or it might want to
go to tray 1 or it might go to tray 3 not consistent.

Thanks again for your response. Hope you can help. For now we've just put
plain paper in every tray and we go to the copier and copy on to letterhead
if we want letterhead because we cant make this work. And we thought Word
Perfect was hard to deal with!

There is a commercial product out there for Microsoft Word which makes this very common problem very easy to solve. It is called Tray Selector. You can download a free 30 day trial at www.trayselector.com.

We used it with great success. It lets you setup toolbar or ribbon bar buttons and for each one you can configure a printer trays and a printer. This means in a single click you can do things like print a copy to headed paper or for example print a draft copy to plain or pdf. You can setup multiple copies and it copes very well with duplex and other types of printers.

Don't want to sound like an advert for the product but well worth checking out in my opinion.
