Default Headers & Footers


We have just recently moved offices. In my word file where i store all
my standards is it possible to change all the headers quickly. I have
about 200 standard letters that need changing quicklyto the new address

One possible solution would be to create an ADDRESS AutoText. To do
this, first establish what you want as the "info" for the AutoText.
Begin by opening up a blank document, then open up the Headers/Footers
(View - Headers/Footers), and type in your new address (or whatever you
want to be placed in your headers for your forms letters).

Now to save this as and AutoText... Open up the AutoText toolbar (Tools
- Customize... Click on the Toolbar tab, and check the AutoText toolbar
check-box). Highlight the header "info" and click on the "New..."
button on the AutoText menu. This will pop-up a window which asks what
you want to use as the name for the AutoText; just type in something
simple that you can remember (eg "ADDRESS" all in caps). Hit OK and
your done!

Now you just have to type in ADDRESS in the header to add your new
address.

(Now that I think of it, having to go through 200 letters changing
headers to ADDRESS is still no easy feat (although it beats typing in
the entire address 200 times)... maybe there's some macro out there
that can go thru all the letters to perform this tedious task...)

Maybe someone else can come up with a better solution...

PS (for my own education (see, I'm not a Word Guru either)): Does
anyone know if changing this AutoText would allow future changes to be
done atuomatically? What I mean is, if their address changes again in
the future, would changing the AutoText info for ADDRESS automatically
update the letters, or would you have to go back through the letters
and retype ADDRESS after the update?

Short, term, see http://word.mvps.org/FAQs/MacrosVBA/BatchFR.htm. This shows
you how to do a find and replace on all documents (or templates) in a
folder.

Long-term, you want one storage spot for your information whether it is
AutoText or bookmarked text or something else. Put AutoNew macros in your
templates that get that information and update it when a new document is
created. Then have it locked in the new document (unlink the AutoText field,
perhaps).
