Default Word-merge databases

We are having a problem within our network of computers. If one person sets
up a mail merge document and adds names, addresses, etc. to the database and
saves it in the same folder as the document it works fine on that computer.
If someone else tries to open that document on another computer it says it is
attached to a database and you have to go find it and attach it again. Last
time that was done it completely messed up the data base when the original
person who created the database tried to open the letter and add names. It
put all the data in one field in the second record and the database had to be
re-created. Now we are leery of opening a merged letter from another computer
even though we need to sometimes. Any ideas on why that would happen? It
doesnt seem to happen on some older merge documents just on recent ones.

Which version of Word are we talking about, here? Major changes to the mail
merge functionality were made in Word 2002...
