It sounds like you are trying to do a label type mailmerge and instead of
executing the merge, you are just previewing the results. From the View menu, select Toolbars and check the Mail Merge toolbar item. Then use either the fourth of third button from the right hand end of the toolbar to execute the merge to a new document or the printer respectively.
