Footnote renumbering
How do I renumber the footnotes in a section of a document?

Please explain further, including version of Word and OS, and thoroughly
describing the end result you would like to see. If you have done everything properly according to Word, Word will renumber them for you--but it's very hard to tell what you might have done wrong with no detail. Or you might have done nothing wrong and just not made it clear what you need. I have created a 21 page document using Word 2003 (11.5604.5606)
It consists of 11 pages I recently created with 4 footnotes, and a second document that was created several months ago with 4 footnotes. I wished to make the second document an Appendix of the first. I inserted the second document after the first. That operation screwed up the formatting of the second document (it was shifted to the right 2" for some mysterious reason.) I finally was able to fix that with some work. The other thing I want to do is to restart the footnote numbering so that the footnotes in the second part (the appendix) start over at 1. I presumed I had to make the appendix a second "section" to do this. So I created a "Section Break (next page)" just before my second section. According to the "help" (ha!) I am supposed to select from the menus: Insert-Reference-Footnote This brings up the "Footnote & Endnote" window. Then help says to click 1 in the "Start at" box. It is already 1 but I dutifully click it as instructed anyway. Then help says "In the Numbering box, click the option you want. (Help does not explain the options, but I see: "Continuous", "Restart each section", and "restart each page." The "Restart each section" seems to be most appropriate use so I select that one. Help then says to click "Apply." I do this and the Apply button highlights. Then I click Cancel to close the window. However, I notice that there is another part of the above mentioned window that is not mentioned in Help, which is: "Apply changes to:" The choices a "This section", and "whole document". I have tried both settings (the "This Section" seems to be the default) but nothing seems to change the footnote numbers. I have tried selecting the whole document before doing the above, and just selecting the second section, all with the same results (nothing happens.) I don't know how to directly edit the footnote numbers; when I try to change them, I get a kind of warning window that has "Delete", "Options..." and "Cancel". Delete will delete the footnote. When I re-create it, it still has the original number. The "Options..." causes the same "Footnote and Endnote" window as above to appear with the exception that the "Apply changes to:" list now includes and additional "Selected Text" option. Since the footnote number is selected...which is "selected text", I tried that option, but still nothing happens. So, Help!!! "Daiya Mitchell" wrote in message .. . Thank you, that's very nice and detailed. (By the way, did you already post
with this problem, or is it just coincidence that someone else is having a similar difficulty right about now?) Sounds to me like you did everything right. And I just did roughly the same thing (I didn't bother to click 1 in the Start Box, I had my cursor in the section but no selected text, and I set apply to: to whole document) and it worked fine for me. No, let me take that back. I think you did do something wrong: I do this and the Apply button highlights. Then I click Cancel to close the window. Whoops. You canceled the change. Clicking Apply should close the dialog, just as you might OK out of other dialogs. Perhaps you didn't click Apply hard enough? hadn't clicked Apply hard enough! Yes, I often invent elaborate rationalizations for things that I recognize don't make sense, for some reason avoiding the simple assertion that it doesn't make sense because it isn't true. Very typical of me. Usually the original mistake is marginally more legitimate, though--e.g., not misreading plain English. That's a new problem. Daiya |

FWIW..Follow-up
I did some other searching and found others that had similar related problems. I also had the symptom that if I tried to create a footnote using the menu sequence, I got something about the number (set at 1) being outside the range of 1 to 65536 (which it obviously was not.) So I created my footnotes using Ctrl+Alt+F which worked O-K. Evidently there is something in the last paragraph object that Word screws up. One fix is to cut and paste all but the last paragraph mark to a new document. Then the Footnote/reference stuff works O-K. Not being experienced with the Insert-reference-footnote window, I did not know that when it is operating "properly" the window disappears when "Apply" is hit. In my case, "Apply" did not appear to do anything. In that case one would assume it to be working, but it is then necessary to close the window using "Cancel" in order to continue. This is not the first time that Word screwed up its own documents... Did anyone notice that Microsoft added the "Open and Repair" option to Word 2003! Why do you think Microsoft found that necessary? It's obviously because they found that Word would screw up its own documents! (The "Open and Repair" option in Word 2003 "fixed" another of my documents that Word 2002 irretrievably screwed up, but it didn't fix this problem!) "Richard Ahlvin" wrote in message ... Evidently there is something in the last paragraph object that Word screws
up. One fix is to cut and paste all but the last paragraph mark to a new document. Then the Footnote/reference stuff works O-K. That's a standard fix for corrupt documents, so your doc must have been corrupted somehow. Word stores all the information to format and layout the doc in the last paragraph mark--getting rid of that forces Word to rebuild the internal structure more cleanly. Thanks for adding to the list of signs of document corruption. -- Daiya Mitchell, MVP Mac/Word Word FAQ: http://www.word.mvps.org/ MacWord Tips: http://www.word.mvps.org/MacWordNew/ What's an MVP?
