Pressing Enter Enter for Paragraphs
I am formatting a large document and I just figured out the reason the text
keeps going all over the place is because instead of using styles to format the paragraphs, they pressed Enter twice to create a new paragraph. This is causing all sorts of trouble to edit and format because blank spaces keep appearing at the top of the pages along with other strange formatting appearing where it should not. Is there a way in Word 2003 to remove all of these "hard reutrns" or will I have to manually go through the document to delete them? I honestly hope there is a way because the document is 300+ pages! So any assistance will be greatly appreciated! Thanks! Thelisha |

You can find and replace 2 paragraph marks with 1, by clicking the More
button in the Find and Replace dialog, and using the Special menu. Thank you for the tip, it helped in deleting some of the paragraph spacing.
There are still some marks but at least not as many as before. This document has really been worked on and I have been tasked with fixing it up so any useful tip like this really comes in handy. Sorry, sometimes you have to run that a few times to eliminate them all,
because it turns 3 para marks to 2. If you do this a lot, it's easy to record a macro to run the F&R operation. You may also find the Style Area useful. " One of the most useful tools when working with an entire document is the Style Area (see to the right). This is available only in Normal view. On the View tab of Tools | Options, set the style area width to a value greater than 0" (1" is usually sufficient unless your style names are very long). Word will then display the style for each paragraph in your document, and you can scroll through and check for incorrect or improperly formatted styles. Double-clicking on a style name in the Style Area will bring up the Style dialog box with the current style selected." Oh okay, now I see! When I clicked "replace all" again it found several more
entries so now I understand. Thank you for the tips! Everyday I find there is something new about Word that I just did not know. This site is really a great learning tool! Maybe the reason why there are still some p marks is because a p mark is not
followed immediately by another p mark, but by a blank space and only then by another paragraph mark. In that case looking for "^p^p" will miss them; you'll need to find "^p ^p".
