Default Envelopes - won't grab address from document

Word 2003, Win XP Pro

If I separate the lines in an address with carriage returns, then highlight
the address and click on the envelope button, it displays only the first line
of the address. If I use manual line breaks instead, everything is
hunky-dory.

Any idea why?

Any idea how I can get Word to recognize the WHOLE address?

I wasn't aware that it should be a single paragraph.

I frequently open Word simply to slap an address on an envelope, and the
habit of hitting Enter at the end of each line (rather than Shift-Enter) is a
hard one to break.

Plus, I *swear* that Word accommodated carriage returns when this feature
was first added years & years ago. Unfortunately, my memory has been proven
wrong on at least one occasion

I don't doubt that Word once accommodated this formatting; it may still, for
all I know. It may make a difference if the paragraphs are formatted in an
Address style. But speaking from the standpoint of a letter template, the
Inside Address is ideally a single paragraph in a dedicated style; this
allows you to define Space Before/After applied to the entire address block
and also to set your Salutation (or Reference) style as the following style.

In your case, however, if you "open Word simply to slap an address on an
envelope," then it seems to me it would be just as efficient to type the
address directly into the Tools | Letters and Mailings | Envelopes and
Labels dialog as to type it into a blank document and hope that Word will
pick it up when you go to the Envelopes dialog.

Suzanne -

Dian's response had a link that leads to an article about Word's Letter
Wizard. If you use it, it will place the recipient's address in the document
for you - with PARAGRAPH marks terminating each line. The envelope button
works fine with this address.

The big/only difference in my case is that the Normal style has a 6 pt space
after each paragraph while the wizard has no space before or after each
paragraph.

Unfortunately, it looks as though I'll have to learn the habit of using line
breaks or change the style of the para before using the envelope wizard

Really? It works fine here with addresses made of multiple paragraphs
formatted either with the normal paragraph style or the inside address style
and maybe others also.

In my letterhead templates I use a first address line style with space
before followed by address lines with no space before. The envelope wizard
pulls the address for me most of the time.
