[using two separate programs and updating]

Is there such a way to enter information in one program and set it up to
change in another program.

Like if I send a document to a client, I would like to keep track of what
the document was that I sent so I will make sure not to send the same one
again, but I don't want to use the program that I store the address info to
track this info.
